Privacy Policy

How Aegis collects, uses, and protects customer and dealer information.

This Privacy Policy explains how Titan AV Cabinet Designs LLC, doing business as Aegis AV Cabinets (“Aegis AV,” “we,” “us,” or “our”), collects, uses, discloses, and protects personal information through AegisAV.com, the Aegis Design Studio, customer and dealer accounts, consultations, quotations, orders, warranty service, and related communications.

1. Scope

This Policy applies to personal information collected through our website, forms, Design Studio, customer and dealer portals, consultations, order and payment processes, warranty and service interactions, and related online and offline communications.

It does not govern a third party’s independent privacy practices, including those of payment processors, manufacturers, dealers, installers, freight carriers, social networks, or linked websites.

2. Information you provide

We may collect information you provide directly, including:

• Name, email address, telephone number, billing address, delivery address, and account credentials;

• Company name, job title, business type, business website, professional qualifications, dealer application information, approved dealer tier, and resale or tax-exemption documentation;

• Cabinet selections, finish choices, equipment models, screen sizes, speaker and subwoofer information, room dimensions, installation conditions, delivery requirements, and project notes;

• Room photographs, equipment photographs, plans, drawings, measurements, resale certificates, signed agreements, and other uploaded files;

• Consultation requests, messages, support inquiries, warranty claims, reviews, survey responses, and other communications;

• Quotations, order information, invoices, payment status, transaction identifiers, refunds, shipment details, and service history; and

• Any other information you choose to provide.

3. Payment information

Payments may be processed by banks, accounting platforms, card processors, financing providers, or other payment-service providers. Those providers may collect card, bank-account, identity-verification, or financing information under their own privacy policies.

Aegis AV may receive limited payment information such as payment method, transaction identifier, authorization status, amount, date, billing details, and the last digits of an account. We do not intentionally store complete card numbers or online-banking credentials in our ordinary website records.

4. Information collected automatically

When you use our website or portals, we and our service providers may automatically collect:

• Internet Protocol address, browser type, device type, operating system, language, and general geographic information;

• Pages viewed, links selected, referring and exit pages, searches, interactions, session timing, errors, and website-performance information;

• Shopping-cart, account-session, authentication, preference, and fraud-prevention information; and

• Cookie identifiers, advertising identifiers, and similar online activity data.

We may use cookies, pixels, tags, local storage, session-replay or interaction-measurement tools, and similar technologies. The technologies in use may change as our website and service providers change.

5. Information from other sources

We may receive personal information from:

• Authorized dealers, designers, installers, contractors, and other project participants;

• Manufacturers, distributors, freight carriers, warranty providers, and service providers;

• Payment, financing, accounting, electronic-signature, scheduling, communications, analytics, advertising, and fraud-prevention providers;

• Public business websites, professional profiles, business directories, and government records used to evaluate dealer applications or verify business information; and

• Referrals, social media, advertising platforms, and other people or organizations that direct an inquiry to us.

If you provide information about another person, you represent that you are authorized to provide it for the relevant project or transaction.

6. How we use personal information

We may use personal information to:

• Respond to inquiries and schedule consultations;

• Recommend products and evaluate fit, compatibility, delivery, installation, and project requirements;

• Operate the Design Studio and save selections;

• Create and manage accounts, quotations, configurations, orders, invoices, payments, signatures, shipping, warranty records, and service requests;

• Manufacture, customize, inspect, photograph, package, deliver, install, and support products;

• Evaluate dealer, designer, distributor, and trade-program applications;

• Verify resale or tax-exemption documentation and administer dealer tiers and pricing;

• Communicate production, payment, signature, shipment, delivery, warranty, and service updates;

• Provide customer support, diagnose problems, and process cancellations, refunds, claims, or disputes;

• Maintain transaction, accounting, tax, warranty, safety, and compliance records;

• Secure accounts and systems, prevent fraud and misuse, and investigate suspicious activity;

• Improve products, services, website usability, performance, advertising, and customer experience;

• Send marketing communications where permitted and manage communication preferences;

• Enforce agreements and protect the rights, safety, property, intellectual property, and operations of Aegis AV, our customers, dealers, and others; and

• Comply with law, legal process, audits, insurance requirements, and lawful governmental requests.

7. Room photographs, plans, and project files

Room photographs, measurements, floor plans, equipment photographs, and related project files help us understand the installation environment and improve the design consultation.

These materials may reveal personal belongings, room layouts, addresses, or other private details. Please remove information you do not want us to receive and avoid uploading files containing unnecessary government identifiers, financial account information, access codes, or precise location metadata.

We use these materials to evaluate, design, quote, manufacture, deliver, install, document, and support the project. We do not use customer room photographs in public marketing without permission or another lawful basis.

8. Cabinet and order photographs

We may photograph a cabinet, components, packaging, crate, serial numbers, and completed configuration for quality control, customer approval, payment documentation, shipping evidence, installation support, warranty administration, and historical order records.

We will obtain permission before using photographs that identify a customer, private residence, or installation in public marketing, except where the material has already been lawfully made public by the customer or another authorized party.

9. How we disclose personal information

We may disclose personal information as reasonably necessary to:

• Website hosting, cloud, security, email, communications, analytics, scheduling, customer-support, and software providers;

• Payment processors, banks, financing providers, accounting platforms, electronic-signature services, and fraud-prevention providers;

• Manufacturers, distributors, screen and equipment suppliers, warranty providers, and repair providers;

• Authorized dealers, designers, installers, contractors, freight carriers, delivery providers, and other participants supporting the customer’s project;

• Accountants, attorneys, insurers, auditors, consultants, and other professional advisers;

• Governmental authorities, courts, law enforcement, regulators, or other parties when disclosure is legally required or reasonably necessary to protect rights, safety, property, or prevent fraud; and

• A buyer, investor, lender, successor, affiliate, or adviser in connection with a financing, reorganization, merger, acquisition, sale, or other business transaction.

We require service providers to use information for authorized purposes and protect it appropriately, subject to the nature of the service and applicable law.

10. Dealers, installers, and referrals

When you ask to work with a dealer, request installation, or submit a project that requires local assistance, we may share relevant contact and project information with an appropriate dealer, designer, installer, or service provider.

When a dealer or designer introduces a customer or submits an order, we may exchange information with that business about quotations, selections, signatures, payment status, manufacturing, delivery, installation, warranty, and service as reasonably necessary to support the project.

Dealers and installers are independent businesses and may maintain their own privacy policies and customer records.

11. Analytics and advertising

We may use analytics, advertising, conversion-measurement, session-analysis, and similar services to understand website use, improve performance, measure campaigns, prevent fraud, and display or evaluate advertising.

Depending on the technology and applicable law, disclosure of cookie identifiers and online activity to advertising partners may be considered “sharing,” “sale,” or use for targeted advertising even when no money is exchanged for personal information.

Where required, we provide a method to opt out of targeted advertising or legally defined sale or sharing. We do not knowingly sell personal information for money.

12. Cookie and privacy choices

You may be able to manage nonessential cookies through our cookie or privacy-preference controls. You can also use browser controls to block or delete cookies, although doing so may affect login, cart, saved configurations, and other website functions.

Where applicable law requires us to recognize an enabled Global Privacy Control signal as an opt-out request, we will process the signal for the browser or device that sends it.

Because browser “Do Not Track” signals are not governed by one consistent standard, our website may not respond to signals other than those we are legally required or technically configured to recognize.

13. Marketing communications

You may unsubscribe from marketing email using the link in the message or by contacting us. Even after opting out of marketing, we may send nonmarketing communications concerning an inquiry, consultation, account, quotation, order, payment, signature, shipment, warranty, security issue, or service request.

Consent to marketing is not a condition of purchasing a product.

14. Data retention

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including to maintain quotations, orders, manufacturing records, signed agreements, payments, tax records, resale certificates, warranties, product serial numbers, photographs, shipping evidence, dealer relationships, service history, security records, and legal claims.

Retention periods vary according to the type of information, the relationship, legal and accounting requirements, warranty periods, dispute risk, and operational needs. We may delete, anonymize, or aggregate information when it is no longer reasonably needed.

15. Data security

We use administrative, technical, and physical safeguards designed to protect personal information. These measures may include access controls, authentication, encryption in transit, security monitoring, backups, restricted administrative access, and service-provider controls.

No website, transmission, or storage system is completely secure. You are responsible for protecting account credentials and promptly notifying us of suspected unauthorized use.

16. Your privacy rights

Depending on your residence and applicable law, you may have rights to request that we:

• Confirm whether we process your personal information;

• Provide access to or a copy of certain personal information;

• Correct inaccurate personal information;

• Delete certain personal information;

• Provide certain information in a portable format;

• Review an appeal of a denied privacy request.

These rights are subject to exceptions and verification requirements. We may retain information where permitted or required, including transaction, tax, warranty, fraud-prevention, security, and legal records.

Please describe the request and provide enough information for us to locate the relevant records. We may take reasonable steps to verify identity and authority. An authorized agent may submit a request where permitted, but we may require proof of authorization and direct identity verification.

We will not unlawfully discriminate against a person for exercising an applicable privacy right. If we deny a request, we will provide the response or appeal information required by applicable law.

18. Children’s privacy

Our website and products are intended for adults and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information, contact us so we can evaluate and delete it where appropriate.

19. Third-party websites and services

Our website may link to or integrate with third-party websites, videos, social networks, payment services, scheduling services, financing providers, maps, or other services. Their privacy and security practices are governed by their own policies, not this Policy.

Review a third party’s policy before providing information directly to that party.

20. Business transfers

If Aegis AV is involved in a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction, personal information may be reviewed, transferred, or disclosed as part of that transaction, subject to applicable law and appropriate confidentiality protections.

21. Changes to this Policy

We may update this Policy to reflect changes in our practices, technology, providers, or legal obligations. The updated Policy will state a revised effective date. Material changes will be communicated as required by law.

The version in effect when information is processed governs that processing, subject to applicable law.
